Providing administrative support to the Contact Centre, Operations and Finance Teams. Providing reception support duties to all staff/visitors ensuring the company security/health and safety procedures are followed at all times.


Key Activities: • Ensuring that all visitors are greeted in a polite and friendly manner, are signed in and are taken to meet the appropriate person • Providing Tea/Coffee/Lunch when requested • Booking Meeting Rooms Ensuring that the following areas are checked on a regular basis: • Kitchen – kept clean and tidy • Copier/Faxes/Printers – Check all trays filled with paper and all print outs/copies distributed to the appropriate person. • Check Replacement cartridges are available for all machines – pass order to purchasing team if required Offering support to all office staff around the following activities • Scanning • Printing • Photocopying • Filing • Archiving • Basic Siclops processing e.g. checking jobs, printing job sheets etc. • Identifying stationary needs where possible and distributing stationary orders when received • Opening and distributing incoming mail • Checking for outgoing mail at regular intervals, franking and preparing in time for postal uplift • Ensuring that credit is available in franking machine and topping up where necessary • Taking special/recorded delivery postage items to post office when required • Signing for special/recorded delivery incoming items and distributing accordingly • Any other general duties as outlined by line manager Main responsibilities: The post holder’s responsibilities include: • Ensuring that as first point of contact at reception all visitors are welcomed appropriately, company procedures re security, health and safety are adhered to and that visitors are shown to the relevant staff member or meeting room • Using own initiative and taking ownership of visitor management ensuring that all visitors are dealt with professionally and hospitably • Being a point of contact for room bookings ensuring that all requests are organised quickly and that feedback is provided to staff members re any problems/unavailability etc. • Providing ongoing support to all staff ensuring that basic office activities are completed regularly or as required (faxing, photocopying, scanning, filing, stationary requirements etc.) and that potential problems are either addressed or escalated as appropriate • Opening and distributing incoming mail to appropriate staff in confidence and preparing outgoing mail ensuring that appropriate postal uplift deadlines are met

Essential criteria

The post holder will have: • Good oral and written communication skills being able to communicate with staff at all levels • Willingness to learn new skills as and when required • Ability to work independently and accurately • A positive, pleasant attitude and ability to work with enthusiasm actively seeking further work when necessary • Basic computer skills • Ability to work in an office environment • Demonstrates a sense of teamwork by cooperating and supporting other team members • Effective timekeeping • Delivery of brand values • Generation of ideas for improvements • Attention to health and safety issues
